Your inbox, answered before the kettle boils.
Fantail learns how your team already answers customers, drafts the reply, and waits for your OK. Automation is earned topic by topic — never switched on behind your back.
We would love to help — under-2 places are the tightest we have, so I have added your daughter to the waitlist with Tuesday to Thursday noted…
Automation you hand over one topic at a time.
Every topic starts silent. It earns the next level only after your team approves it, untouched, twenty-five times.
It reads, it says nothing
Fantail sits behind your inbox, learning your topics and your voice. Your team notices nothing except the report at the end of the fortnight.
Drafts waiting for your OK
Each reply arrives with its evidence: what it checked, what it found, what it is unsure about. Approve, edit, or decline with a reason.
Earned, per topic, by you
You sign off with a tick box. One switch pauses everything, levels intact — and every send carries your name in the log.
Exactly what Fantail asks your mail provider for.
Fantail attaches to the mailbox you already run rather than replacing it, so what it is allowed to do inside that mailbox is the whole security story. There is no hidden second request later.
| Permission | What it lets Fantail do | Why nothing narrower works |
|---|---|---|
gmail.readonly |
Read incoming mail in the connected mailbox. | Classifying an enquiry and drafting an answer both need the body of the message. Metadata-only access can see that mail arrived but not what it asked. |
gmail.send |
Send a reply as you — one you have approved, or one from a topic you have explicitly moved to Auto. | The reply has to leave under your own address or it is not your reply. Nothing narrower can send, and nothing broader is needed. |
No gmail.compose, gmail.modify, gmail.settings, labels, or full mailbox access. Fantail therefore cannot delete your mail, move, archive or relabel it, alter your filters, forwarding or signature, reach any mailbox other than the one you connected — or so much as place a draft inside it. Drafts live in Fantail until the moment you send. This is not a promise we could quietly change: Google has not granted us the ability in the first place. The equivalent Microsoft permissions are Mail.Read, Mail.Send and offline_access.
Message content is stored encrypted on New Zealand infrastructure, partitioned by business, and is never used to train, fine-tune or evaluate any shared machine-learning model. Disconnecting a mailbox destroys the stored tokens within 24 hours and stops all further access immediately. The full detail — what is accessed, used, stored, shared and deleted — is in the Privacy Policy.
Some messages will never be answered by software.
Locked topics are a property of the product, not a setting you can loosen. Fantail prepares the receipt, routes the message to a named person, and gets out of the way.
